Lifecycle Control
Lifecycle Control introduces stricter governance over document publication within the Document Management System.
This feature ensures that no single user can unilaterally publish important documents, helping organizations maintain compliance, traceability, and collective accountability.
When enabled, documents become strictly controlled, meaning that publication must go through a formal approval process.
The menu option for ''Modification procedures'' has changed to ''Lifecycle procedures''

Enabling Lifecycle Control
- Per Document: Lifecycle Control can be turned on or off for individual documents as they are being uploaded to AlisQI.

Disabling the flag has no retroactive effect on ongoing or completed procedures.
Publication Procedure
When a new document is uploaded with Lifecycle Control enabled, it remains hidden from the rest of the application until it moves through an approval-driven publication process, which is immediately initiated.
The publication procedure appears under ''My approvals'' for users involved in the approval process. Document owners and delegates can also see the document in the Document Overview.

Procedure Outcomes
- Approved: The document becomes visible and is officially published (version 1.0).

- Rejected: The document reverts to Draft status, allowing further edits before re-approval.


- Canceled: If the Document Owner cancels the procedure, the document is removed.

Lifecycle Control in the AlisQi
The following information is a handy reference to where you can find clarity on particular a status or journey of a document within the Lifecycle Control procedure.
- Document overview: The Document Overview page now includes a dedicated “Procedure” column that clearly identifies the specific approval or publication workflow each document is currently undergoing. This allows users to quickly see at a glance the stage and type of process associated with every document, supporting greater clarity and operational transparency.

- Document registry: Within the Document Registry, an enhanced “Lifecycle Control” column provides immediate insight into whether strict lifecycle management is enabled or disabled for each document. This not only facilitates swift identification and management of controlled documents but also helps ensure compliance with internal and external quality standards.

- History trail: For every document, the history trail has been expanded to track and display the lifecycle control status—active or inactive—at every stage of the document’s existence. This comprehensive audit trail delivers full traceability of both procedural steps and lifecycle state changes, strengthening accountability and supporting regulatory compliance requirements.

- Lifecycle procedures Menu: This updated menu now offers enhanced visibility into each document’s journey. The updated “resolved” layout enables users to easily see the status of both published and cancelled procedures.
