Smart Document Rewriter

This article will help you to use the AI powered tool: The Smart Document Rewriter

The Smart Document Rewriter uses AI to analyze your quality documents and suggest targeted improvements. Given a document, a target audience, a document type and (optionally) a certification to evaluate against, it produces a quality score, a structured checklist of improvement areas, and actionable rewrite proposals — all without overwriting your original file.

Getting Started

You can find the tool via menu option Documents > Document Overview > More > Smart Document Rewriter

Acess is granted with the Compliance Intelligence Solver and the ''Enable AI Features'' must be checked in Application Settings (under management)

On the start page, you'll find three inputs:

Input

Options

File upload

PDF or DOCX - ( max 20MB) (Max 16 pages)

Target Audience

Operator · Engineer · Manager

Document Type

Standard Operating Procedure · Policy · Work Instruction

Certification (Optional)

A list of different certifications that add checks to the evaluation

Select the audience, document type and certification that best match your document before uploading — these settings tune the AI's analysis and rewrite suggestions.

Once a file is uploaded, the Analyze Document button becomes active. Click it to begin.

Analysis

The tool scans your document and displays progress step by step, along with the document's page count and word count. Wait for all steps to complete before proceeding.

NOTE: Images are not parsed by the AI - therefore will be lost in the rewrite.

Reading Your Results

At the top of the results page, you'll see:

  • Quality Score — a number from 0 to 100 reflecting how well the document meets the criteria for your chosen audience and document type.
  • Document Summary — a brief AI-generated overview of the document's content and structure.

Below this, three tabs give you the full set of tools: Checklist, Document, and Flowchart.

The Checklist Tab:

This is where you review findings and decide what to rewrite.

Each ''check'' contributes equally to the quality score. The tab shows at a glance how many checks passed, how many failed, and how many were not applicable.

Below the pass/fail summary, the total check count is shown alongside two selection shortcuts:

  • All — selects every check
  • None — clears the selection

Next, work through the list , select and review the items you want to address. Each ''check'' includes:

  • Title — what the check covers
  • Why it matters — the reasoning behind the criterion
  • Example - what good looks like
  • Assessment — how your document performed on this check
  • Improvement suggestion— a specific recommendation

As you accept or reject changes, you can re-evaluate the document.

Once you've selected the checks to address, click Rewrite. (You can continue to repeat this process for additonal checks)

The AI generates proposed changes for the selected items and surfaces them in the Document tab.

The Document Tab:

This tab shows your document as a continuous scroll. Before any rewrites are generated, it displays your original uploaded file unchanged.

After running a rewrite

Proposed changes appear within the document text. From here you can:

  • Accept all / Reject all — apply or discard every proposed change at once
  • Accept or reject individual changes directly in the document
  • Show/hide changes — toggle the modification overlay on or off
  • Download as TXT or Download as Word — saves the current state of the document, including pending proposals (whether accepted or not)
  • Refine with AI — opens a side panel with a chat interface, letting you give the AI freeform instructions to further refine the document in natural language
  • See and copy the summary of changes to be used in modification proposals in the main app, for example

As you make changes, whether accepting or rejecting, the option to ''Finalize'' the document will highlight.

Choose to Re-evaluate based of those changes or proceed with finalization and download the finalized copy.

The Flowchart Tab:

Use this tab to generate a visual process flowchart from your document.

  1. Click Generate Flowchart.
  2. Once generated, the flowchart reflects the current state of the document — including any changes you've accepted in the Document tab.
  3. If you make further changes and want the flowchart to reflect them, click Regenerate Flowchart.
  4. Use Download as SVG to export the flowchart.

Finalization

Once you are happy with your new document versions you can download them accordingly from the Document Tab and follow the normal Document Upload or Document Modification proceedures.

 Tips for Best Results

  • Set Target Audience, Document Type and, optionally, the Certification before uploading. These settings directly shape the quality criteria applied.
  • Use the Checklist to triage: start with failed checks that have the highest impact for your readers.
  • The Refine with AI panel is useful for targeted edits that don't map neatly to a specific check — for example, adjusting tone or restructuring a particular section.
  • Generate the Flowchart or download the document after accepting or rejecting changes, not before, so it reflects the final version of your document.
  • Your feedback via 👍 / 👎 helps improve the feature. Use it.
