How can I import data to AlisQI?

AlisQI supports a few ways through which data can be imported. You can use the API or the bulk import feature.

The import functionality provides two routes: 

  1. Form field upload 
  2. Excel upload. 

The process of defining your import is identical for both routes, only the final step in the process differs.

Settings

Before importing data in AlisQI it is important that the settings are selected in the way which suits your import.

Note: to prevent bad or messy data, it is essential that you configure the settings correctly.

Create unknown selection list options

When importing values for selection list fields, you need to make sure your data exactly matches the options in the selection list. For example, if a selection list has options "Article One" and "Article Two", then AlisQI will not recognize values "Article Oen" or "Article 2".

AlisQI can create new selection list options automatically if you check this setting.
Be careful about spelling! In the example above, two new article options ("Article Oen" and "Article 2") will be inserted, which may not be intended.

Ignore first line

Checking this setting will make AlisQI ignore the first row in each of the text areas. Use this if you copied whole columns including a column label from a spreadsheet.
This setting does not apply to the Excel import.

Automatically fill in date fields

Checking this setting will make AlisQI fill in the current date and time for every date field value. This allows you to leave date fields empty, if if they are required. Note that all results will have the same date and time if you use this option.
This setting does not apply to the Excel import.

Edit results

If you wish to edit existing results, then select a field to identify existing results with. If a matching result is found, then that result is modified using the provided values. If no match is found, then a new result is added. If you leave values empty in the import, then AlisQI will not remove existing values. There are two important considerations when using this option.

First, the values in the selected field must be unique, because AlisQI will only edit (at most) one matching result. For example, if you have two results with batch number "123", then only one of these results will be modified. (There is no conclusive way of determining which one.)

Second, the values need to exactly match the current values in AlisQI. When values don't match, a new result will be created, which may not have been intended. You can prevent this by using the setting "Only edit existing results".

Bulk import and selection lists

When you use bulk import to update selection list options, then inactive options are updated as well. Consider this example:

If you tried to import using "Identify results based on Article" and provide a new description for article "123", then only one of these options will be modified, regardless of which one is active or inactive.

Direct entry

This method is especially useful when you have a few values you want to add at once. You can fill the available text fields with data.

Excel upload

This is the recommended way of import data.

Download the import template to get started. Convert and copy your own data to this template, save it, go back to AlisQI and select the Excel file with data. We explained the functions of the Excel template here: How can I import data to AlisQI? - Excel upload. (Please don't use complicated formulas or external data).

Please note: If the setting "Alarms and messages" is set to "Yes", then the main date field of the results need to be set in chronological order from old to new, in order for SPC patterns to be automatically recognized. This will be adjusted in the future updates.
